Murgitroyd AI Usage Policy
Murgitroyd AI Usage Policy 2025/26
AI Usage Policy: Commitment to Responsible Innovation
At Murgitroyd, we are committed to leveraging cutting-edge technologies, including Artificial Intelligence (AI) tools, to enhance the quality, efficiency, and depth of our services. Our adoption of AI is guided by a steadfast commitment to professional excellence, client confidentiality, and ethical responsibility. This policy outlines our approach to the use of AI tools, ensuring transparency and building confidence for all our clients and prospective clients.
Our Internal AI Code of Conduct
We operate under a comprehensive internal AI Code of Conduct that defines the principles and procedures governing the responsible and ethical use of AI tools within our practice. This Code is integral to our operational framework and ensures that all AI-assisted activities align with our professional standards and client-centric values. We believe that maintaining such a robust internal framework is crucial for responsible innovation.
Transparency and Information for All
We understand the importance of informed decision-making. Therefore, we are dedicated to providing clear and sufficient information regarding our use of AI tools to both our existing and potential clients. We aim to go beyond generalised statements to offer meaningful insights into how AI supports our services. While the full internal Code of Conduct is detailed for our team, its main features and operational safeguards are publicly accessible through this policy.
Areas of AI Application
AI tools are integrated into various aspects of our work to augment human expertise and optimise processes, rather than replace the critical judgment of our skilled professionals. We currently utilise AI in areas such as:
- Information Retrieval and Analysis: Assisting in comprehensive searches of patent databases, trade mark databases, legal literature, and technical documents to identify relevant prior art, conflicting trade marks, case law, and technical disclosures.
- Drafting Support: Aiding in the generation of preliminary text for patent specifications, trade mark specifications, claims, and legal arguments, which are then meticulously reviewed and refined by our patent and trade mark attorneys.
- Data Organisation and Management: Enhancing the organisation and analysis of large datasets related to intellectual property portfolios and technical information.
- Language Processing: Supporting translation efforts and summarising complex technical or legal texts to improve efficiency.
It is important to note that AI tools are always used under strict human supervision and are never solely relied upon for critical decisions or final deliverables.
Ensuring Quality, Ethical Use, and Data Security
Our use of AI is underpinned by rigorous safeguards:
- Human Oversight: Every output generated or assisted by an AI tool undergoes thorough review, verification, and critical analysis by our qualified European Patent Attorneys, Trade Mark Attorneys and legal professionals. The ultimate responsibility for all advice and work product remains with our human experts.
- Data Privacy and Confidentiality: We employ stringent protocols to protect client data. AI tools are selected and configured to ensure that client-sensitive or confidential information is handled securely, without unauthorised access or exposure. We avoid inputting confidential client information into public or general-purpose AI models that could compromise its privacy.
- Accuracy and Reliability: We continuously evaluate the performance and reliability of the AI tools we utilise, understanding their limitations and potential for error. Our professionals are trained to identify and mitigate risks associated with AI-generated content.
Staff Expertise and Training
We place a high premium on the expertise of our team members. All staff responsible for the selection, deployment, and use of AI tools receive comprehensive training. They are required to be sufficiently familiar with:
- The Nature of AI Tools: Understanding the capabilities, limitations, and underlying mechanisms of the specific AI technologies employed.
- The Work of a European Patent Attorney: Possessing a deep understanding of patent law, practice, and the ethical obligations associated with the profession, as outlined by the European Patent Convention (EPC) and the epi (Institute of Professional Representatives before the European Patent Office) Guidelines.
- The Work of a Chartered UK Trade Mark Attorney: Possessing a deep understanding of trade mark law, practice and the ethical obligations associated with the profession as outlined in the IPReg Code of Conduct.
This expertise ensures that AI tools are applied judiciously and effectively, in full compliance with the IPReg Code of Conduct, epi Guidelines, including those forming Annex 3, thereby maintaining the highest standards of professional conduct.
Compliance with Professional Standards
Murgitroyd is committed to upholding the highest professional and ethical standards. Our AI Usage Policy, and its implementation, are designed to ensure strict compliance with:
- Article 1 of the Regulation on Discipline: Guaranteeing that our use of AI does not compromise professional independence, integrity, or the duty to serve the client's best interests.
- EPI Guidelines: Adhering to the specific guidelines and recommendations issued by the epi concerning the use of AI in patent practice.
- IPReg Code of Conduct

We encourage our clients and potential clients to discuss any questions or concerns they may have regarding our AI usage. We are committed to providing you with well-founded confidence in our services and our adherence to the highest professional standards.
